Purpose of the data processing
The purpose of data processing is the preparation, organization, execution, and follow-up of events, as well as documentation and reporting. This also includes carrying out necessary steps prior to entering into a contract, including participant management and communication before and after the event.
In this context, we process the following categories of personal data:
- Master data (e.g. first name, last name)
- Contact data (e.g. email address, phone number)
- Company/organizational affiliation
- Event-related data (e.g. participation, attendance)
- Image and video data
The legal basis for data processing is the performance of a contract pursuant to Art. 6(1)(b) GDPR, provided that participation in the event is based on terms and conditions of participation.
Use of Recordings Based on Terms and Conditions of Participation
Based on the terms and conditions of participation, we create and use recordings of the event for external communication purposes. We will only use recordings that appropriately represent the event and its participants. If you identify yourself in any published material and have a particular interest in its deletion, please contact the event team at events@huebner-group.com. We will review your request accordingly.
Use of Recordings Based on Legitimate Interests and Consent
If recordings are made at events that are not subject to specific terms and conditions of participation, this is done on the basis of Art. 6(1)(f) GDPR. Our legitimate interest lies in documenting the event as well as internal reporting and follow-up. We ensure that no overriding interests of the data subjects are affected. You have the right to object to the creation of recordings at any time.
The publication of such recordings, in particular on our website, on social media, or in print media, is carried out exclusively on the basis of your prior consent pursuant to Art. 6(1)(a) GDPR. This consent is voluntary and may be withdrawn at any time with effect for the future.
Categories of recipients
In the course of providing our services, we engage specialized service providers who are contractually bound to confidentiality and data protection obligations and for whom access to personal data cannot be excluded. These categories of recipients include IT service providers, agencies, event platforms, service partners, and external consultants.
Data will only be disclosed to public authorities where required by overriding legal provisions. If personal data is transferred to third countries, this will only take place in compliance with the requirements of Art. 44 et seq. GDPR. Published recordings may be accessed worldwide.
Storage period and deletion of data
Your data will be stored for the duration of the contractual relationship. After its termination, we are legally obliged to retain tax-relevant documents for up to 10 years following the end of the financial year and calendar year. After that, the data will be deleted.
Photo and video recordings will generally be stored as long as they are required for public relations purposes or until consent given has been withdrawn.
Your right to information, rectification, erasure, object and data portability
You may avail yourself of your rights to access, rectification and erasure of data at any time. Simply contact us using one of the methods described above. Should you require data to be deleted, which we are still legally obligated to retain, access to your data will be restricted (blocked). The same applies to your right to object. You may avail yourself of your right to data portability if the recipient and ourselves have the technical means.
Right to lodge a complaint
You have the option at any time to lodge a complaint with a data protection supervisory authority.
Provision obligation
Providing your data correctly is necessary for the conclusion of a contract. Without such data, a contract cannot be concluded.
